Below is some essential information to help you prepare for the day.
RoR Awards information for your booking
Event location and timings
- Venue: Horseshoe Pavilion, Cheltenham Racecourse
- Date: Saturday, 25 January
Awards schedule
- Arrival: From 10:00am (tea and coffee will be served upon arrival)
- Sit down: 10:30am
- Awards ceremony: 10:40am – 11:50am
- Lunch: From 12:00pm
Please ensure you arrive by 10.30am at the latest.
Auction
The RoR Awards 2025 Silent Auction is now open for bidding. The auction will close at 11pm on the 25 January 2025
There will also be a raffle on the day.
Horseshoe Pavilion
The Horseshoe Pavillion is located next to the village, opposite the horsewalk, offering fabulous views of the horses as they move between the Parade Ring and the course.
Dress code
Smart racing attire. For more details on the dress code, please refer to the guidelines on the Cheltenham Racecourse website.
Entry tickets for Cheltenham
For those who indicated that they need tickets to enter Cheltenham Racecourse, they were emailed to you on 20 January. Please keep an eye out for them, as you will need these for access to the racecourse. The original tickets sent via Ticket Tailor will not get you access to the racecourse.
Please note, if you have booked more than one ticket, you will need to forward the entry ticket(s) on to the person or people you have booked for.
Tables
You have been assigned a table and table place in advance of the event. Please ensure you sit at your correct table and in the place you have been assigned for ease of the event team.
Directions and travel
- By road: Please key in the postcode GL50 4SH into your navigation system

Please allow plenty of time to arrive if you are arriving by car as traffic will be busy.
Parking
Car parking is free at Cheltenham Racecourse on Festival Trials Day. Please follow the Public or Green signs to the designated parking areas.

Ticket terms and conditions
The following terms and conditions apply to all tickets purchased for the RoR Awards 2025 event, which includes admission to Cheltenham Festival Trials Day on Saturday 25 January 2025 and a two-course lunch in the Horseshoe Pavilion marquee.
These terms cover all standard and any other ticket types purchased via the Ticket Tailor app or directly from RoR.
By booking or purchasing a ticket for the RoR Awards 2025 event, you confirm that you have read, understood, and agree to abide by these terms and conditions in full, including The Jockey Club’s applicable policies.
1. Non-refundable tickets
All tickets for the RoR Awards 2025 event are non-transferable and non-refundable under normal circumstances. Refunds will only be considered if the event does not take place or under the specific conditions outlined in sections 2 and 4.
Any donations made to RoR during the ticket booking process are entirely non-refundable under any circumstances.
2. Event cancellation
If the event is cancelled entirely and does not take place on the scheduled date of 25 January 2025, ticket holders will be eligible for a full refund of the ticket price, excluding any processing fees. These fees will be detailed upon request.
Neither RoR nor The Jockey Club is liable for any expenses you may incur related to the event, including but not limited to travel, accommodation, or third party bookings.
3. The Jockey Club cancellation and abandonment policy
RoR is bound by The Jockey Club’s terms and conditions for entry to Cheltenham Racecourse. Therefore, The Jockey Club’s cancellation charges and refund policies apply if the event is affected by their decisions. 4. Abandonment of the event
In the event that racing is abandoned, the following terms apply:
- Abandoned before the first race (racecourse closed):
Ticket holders will receive a full refund of their ticket price.
- Abandoned before the start of racing or during racing (racecourse remains open):
If racing is abandoned before the first race or during the racing but the racecourse remains open, and ticket holders are able to attend the RoR Awards and lunch, no refunds will be provided.
Neither RoR nor The Jockey Club is liable for any expenses you may incur related to the event, including but not limited to travel, accommodation or third party bookings.
5. Force majeure
RoR and The Jockey Club are not responsible for cancellations or disruptions caused by events beyond their control, including but not limited to extreme weather, strikes, or public health emergencies. In such cases, no refunds will be issued unless required by law.
6. Event schedule and content changes
The schedule and content of the RoR Awards 2025 event are subject to change without notice. Such changes will not entitle ticket holders to a refund.
7. Behavioural expectations
All attendees are expected to conduct themselves respectfully and in line with the event rules. RoR reserves the right to remove any attendee whose behaviour is deemed disruptive or inappropriate, without refund.
8. Data protection
Any personal data collected during ticket purchase will be used solely for event administration purposes and will comply with relevant data protection laws, including the UK GDPR. For further information, please refer to RoR’s Privacy Policy.
9. Jurisdiction
These terms and conditions are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

For any queries or refund requests, please contact the RoR Awards team at info@ror.org.uk. Refunds will be processed in line with the terms outlined above and subject to verification.
7. Compliance with safety and regulatory measures
By attending the event, you agree to comply with all safety and regulatory measures in place at the time, including those related to public health.
